IMPORTANT INFORMATION

  1. Please do not bring any alcoholic beverages into the Beaver Island Clubhouse. If you have alcoholic beverages from your limousine we will be glad to store them for you.
  2. Please do not use map quest on the Internet for directions to the clubhouse. It will lead you to the wrong West Oakfield Road.
  3. If you are planning on taking pictures in the park during your cocktail hour please advise your photographer that you will need to return to the hall no later than 10 minutes prior to your scheduled dinner time. You and your bridal party will need to be lined up for your introductions.
  4. If your wedding ceremony is going to be held in the park or at the Beaver Island Clubhouse you will need to contact us for the rehearsal times available. You will also need to provide the park office (ph. 716-773-3271, fax 716-773-4150) with a list of people who are attending your rehearsal seven days in advance so they are not charged admission to the park.

FINAL DETAILS

  1.  We will be contacting you approximately 1 – month prior to your function to schedule an appointment (in person or by telephone) in order to finalize all details for your wedding as well as your final menu choices. You may call us at anytime with your menu decisions only if you are certain they will not change. It is very difficult to change menus once they are finalized.
  2. Ten days prior to your function you will need to provide us with your final guest count. In addition to your adult count please let us know how many children / young adults you that will be attending (less than 3 years old, between 3 to 8 years, and 9 to 20 years). Please be advised that 9 to 20 year olds do not count as adults toward your adult minimum specified. After we have your guaranteed count we will provide you with a detailed seating chart. For all plated dinner menus we can offer children’s meals as well as a vegetarian option. For all buffet menus there are plenty of options on the buffet for both children and vegetarians. Children are priced separately.
  3. We would like you to drop off any necessary items (cake server, gift box, place cards in alphabetical order, favors, toasting glasses, guest book etc.) approximately 5 days prior to your function. Final payment for your wedding will be due at this time.

YOUR BAND AND/OR DJ

  1.  If you are having a band without a D.J. please find out who will be making announcements and make sure you provide them with the proper information for announcing your bridal party, as well as any other necessary announcements. We can provide a microphone for any speech or toast if needed.
  2. If you have more than 2 speeches/toasts prior to dinner we highly recommend you reserve them for sometime later in the evening. Please advise us of anything you may have planned between the end of your cocktail hour (intros, cake cutting, speeches, etc.) and the start of your dinner as anything additional will postpone your dinner time and jeopardize the quality of your food.
  3. Your bar will close five hours after the start of your cocktail hour unless you plan to extend. Please coordinate your D.J. or other entertainment to end when your bar closes.
  4. If you are planning on showing a slide show please do not arrange for this to be shown at the end of your cocktail hour. We will be glad to run the slide show continuously after dinner in order for all your guests to see.
  5. If your dance floor / D.J. will be out on our covered west pavilion and they are planning on plugging in to our stereo system please ask them if it would be possible to do an early sound check to eliminate the possibility of any connection problems that may arise. The plug in is 1/4” phone to RCA. We can provide this cable for them.

DON'T FORGET!

  1.  You will need to give our banquet hall phone number (716-774–8000) to your bakery, D.J., Florist, or anyone bringing items to the clubhouse on your wedding day. Please have them call upon entry to the park in order for us to let them in.
  2. Please provide the park office (ph. 716-773-3271, fax 716-773-4150) with a detailed guest list (first and last name, it is ok to put “and guest”) at least 10 days in advance so that your guests are not charged admission at the park tollbooths.
